Your details, and what we do with them.
To inspect your flat and follow up with your builder, we handle your phone number, your flat’s address and photographs of your home. This page sets out what we collect, why, who sees it, how long we keep it, and how you can see, correct or delete it.

Who we are
Possession Manager inspects new flats before possession and follows up with the builder’s team on the buyer’s behalf. We decide why and how your personal data is used, which makes us its Data Fiduciary under the Digital Personal Data Protection Act, 2023.
For a question about your data, or to use any of your rights below, write to us here. Whoever answers can speak for us on how your data is handled.

What we collect
Only what the service needs, item by item.
When you message us or ask to book
- Your name, your WhatsApp number and your WhatsApp profile name.
- What you send us: messages, photos, documents and voice notes.
- Your flat: its project, city, builder, flat number and size, when you expect possession, and its floor plan if you send one.
- Your email address, if you email us.
When you book
- What you booked, including the Final check if you add it, and its price.
- A record of your payment: the amount, the date and its reference. This website takes no payments, and we don’t ask for Aadhaar, PAN or bank details.
During the inspection
- Photographs and videos of your flat and of each defect in it.
- Our inspector’s record of every check, room by room: passed, a defect, or not made and why. This includes notes they speak into their phone, which are turned into text.
- Room measurements, where we take them.
During the follow-up
- Your replies: the repairs you approve, and the concerns you flag, in your own words.
- What the builder’s team sends about your flat: their messages, and photos or videos of each repair.
- The date of every request, reminder, reply and repair.
About builders’ representatives
To follow up on repairs, we keep the name and WhatsApp number of the builder’s representative for a flat, given to us by the buyer or the builder, with their messages and the repair photos and videos they send.
On this website
- No cookies for visitors, no analytics and no advertising trackers.
- Our servers log each request (the IP address, the page and the time) to keep the site running and secure.
- When a published record page is opened, we note that it was opened, and whether from the certificate’s QR code or a link. We don’t record who opened it.
We photograph flats and defects, not people. Our service is for flat buyers, who are adults, and we don’t knowingly collect data about children.
Why we use it
For these purposes, and no others:
- To answer your enquiry, confirm we cover your project, and book your inspection.
- To inspect your flat against our published checklist and give you your defect list.
- To send the defect list to the builder’s team, follow up until each repair has proof, and pass their replies and proof on to you.
- To keep your flat’s record and produce your closing report, and your certificate and its record page if you choose them.
- To read the rooms off your floor plan, so your inspection names them as your plan does.
- To send you updates about your inspection and repairs on WhatsApp.
- To keep the service secure, and to keep the accounts and records the law requires.
We don’t sell your data, use it for advertising, or send you marketing you didn’t ask for.
You give your consent to this when you message us or book, and you can withdraw it at any time (see your rights). A few records we keep because the law requires them, such as tax records; those don’t depend on your consent.
Your flat’s public record
When your flat’s record is complete, you can choose a certificate of inspection for your door. Its QR code opens your flat’s record page, which anyone with the link can see.
It shows your flat number, project and builder; every defect with its room, status and dates; the checks made on inspection day; and the inspection and repair photographs.
It never shows your name, any phone number, or the words of a concern you flagged. It says a repair was flagged; your words stay in your closing report. Search engines are asked not to list the page.
The certificate itself carries your name, and whether it goes on your door is up to you. If you change your mind, ask us and we’ll take the record page down.
Where it’s stored
Our servers and database are in Mumbai. Photographs and documents are held by our storage provider, and WhatsApp messages pass through Meta’s systems; both may store or process data outside India. The Act allows this, except to countries the Government of India restricts, and we’ll follow any restriction it makes.
How long we keep it
| Your case: its record, photographs, reports and messages | Until five years after you take possession, the period in which the builder is responsible for defects under RERA. Then we delete it. |
|---|---|
| An enquiry that didn’t lead to a booking | One year after your last message. Then we delete it. |
| Payment and tax records | As long as tax and accounting law requires. |
| Server logs | Up to one year. |
Ask us to erase your data and we will, within 30 days, except what the law requires us to keep: tax records, for example, and for one year the record of how your data was processed.
How we protect it
- This website and our case console are served only over HTTPS, so what passes between you and us is encrypted.
- Photographs and documents are kept in private storage, never at a public address, except the photographs on a record page you’ve chosen to publish.
- Each member of our team signs in to the case console with their own account, and only people working on cases have one.
If a breach ever affects your data, we’ll tell you without delay what happened, what it could mean for you, what we’re doing about it and what you can do. We’ll also report it to the Data Protection Board of India.
Your rights
Under the Act, you can:
- See your data. Ask for a summary of the personal data we hold about you, what we do with it, and who we’ve shared it with.
- Correct it. We update your details, such as your name or flat number, straight away. A defect on your record is corrected with a new entry, so the record shows what changed and when.
- Erase it. We delete your data, and take down any public record page, except what the law requires us to keep.
- Withdraw your consent at any time, as easily as you gave it: a message is enough. We then stop using your data. If your inspection or follow-up is under way, we can’t continue it; what we did before stays lawful, and any refund follows our cancellation and refund policy.
- Nominate someone to use these rights for you if you die or can’t use them yourself. Tell us their name and how to reach them.
- Complain, to us and then to the Data Protection Board of India (see complaints).
How to ask
Message us on WhatsApp from the number you used with us, or email us. Tell us your project and flat number, or the reference on your reports (PM- followed by eight letters and digits), so we can find your record. If you write from another number or address, we may ask you to confirm who you are first.
We reply within two working days, and act on your request within 30 days.
Complaints
If you’re unhappy with how we’ve handled your data, tell us first, on WhatsApp or by email. We acknowledge a complaint within two working days and resolve it within 30 days.
If you’re not satisfied with our answer, you can complain to the Data Protection Board of India. The Board works as a digital office: complaints to it are made online, after you’ve raised the matter with us.
Changes, and other languages
When we change this policy, we’ll post the new version here with its date. If a change affects data you’ve already given us, we’ll tell you on WhatsApp before it applies.
Would you rather read this in Hindi, Marathi or another language of the Eighth Schedule to the Constitution? Ask us, and we’ll send it to you.
